Onboarding a new client

Everything to take a signed “yes” live: the quick-details form to send the client, the service agreement to sign, the step-by-step flow, and a ready-to-send welcome email.

Quick-details form

Send this to a new client (or fill it yourself on the call). Pure details — no signing, no uploads. They generate a file and email it to you; drop it in Sozou and I’ll fill the agreement from it.

Service agreement

The plain-English terms. Fill the client’s blanks (I can do this from their details file), then send it for signing. Free setup, month-to-month, non-payment pause, ownership, switching + buyout.

The onboarding flow

Details → sign → Stripe → domain → build → live. Keep it light — the client barely lifts a finger.

Agree the plan & price on the call, and grab their basics while you’re talking.
Capture the details. Fill the quick-details form yourself, or send the client the link to confirm/finish — they email you the details file.
Fill & send the agreement to sign. I fill the blanks from their details; you send it for e-signing (see below) — they sign in one click.
Set up the Stripe subscription → send the payment link → they add card or direct debit.
Domain. Register a standard .com.au in their name, or connect their existing one (premium names → they buy & own).
Send the welcome email (template below) → grab their logo + job photos.
Build & wire up the site + assistant, their phone & calendar.
Review & revisions with the client (per their tier).
Go live → point the domain → first payment starts (the go-live date).
Signing the agreement (free): fill the agreement with the client’s details, then send it for signature with a free e-sign tool — PandaDoc Free eSign is the easiest (unlimited, free, the client signs in one click and you both get a signed PDF with an audit trail). Open-source DocuSeal/Documenso are alternatives. The form deliberately has no signature — a contract gets signed, not a data form.
How the form data reaches you: client clicks Generate & download → gets a sozou-intake-[business].json → emails it to you. Save it in C:\Sozou\onboarding\, then ask Claude to “fill the agreement from this client’s details” — it fills the blanks (name, ABN, plan, fee), ready to send for signing.

Generate a signing link

Fill the client's details (from their form/JSON or the call) → get a pre-filled agreement link to send. They open it, sign at the bottom, and email you the signed PDF.

Welcome email — after they sign

Send this once the agreement’s signed & payment’s set up. This is where you ask for the logo + photos (kept out of the form on purpose).

Great to have you on board! I'm getting started on your AI booking site and assistant. To make it look the part, could you reply with:

  1. Your logo — any format you've got (or let me know if you'd like one designed).
  2. 8–10 photos of your work — before/afters, finished jobs, the team, your vehicle. The more the better.
  3. Anything else you'd like featured (key services, areas, a short blurb).

Just hit reply and attach them — no rush, but the sooner I have them, the sooner you're live.

Once they're in, I'll have a first version ready for you to review in a few days before it goes live.
